CRAPPY MEETING MINUTES = POOR COMMUNICATIONS! The Board of Directors is required to:
- Keep the minutes of all membership and Board meetings
- Keep all Association books and records
The Board provides monthly meeting minutes (except for its Executive Session) to homeowners. However, not in a timely manner. January, February, March, April, and May 2025 minutes were all posted May 21.
Meeting minutes should document the key decisions made during a meeting, ensuring a clear record of what was discussed and agreed upon. Minutes should provide transparency and accountability: by providing a record of meetings, minutes ensure that all condominium owners can access information about decisions made, fostering transparency and accountability within the association.
The Raleigh Square meeting minutes provide very little information to its homeowners, and may also be inaccurate. Raleigh Square homeowners deserve transparency, accountability, and a record of what is discussed. Not a word about a new management company, nor any other decisions affecting all homeowners. That is not a proper way for a million-dollar nonprofit corporation to operate and for the Board of Directors to treat its fellow homeowners and neighbors.
If the Secretary, responsible for producing the minutes, is not doing her job, replace her with someone who will. “Consistent communication” is touted as an accomplishment, but communication that consistently falls short needs upgrading.
Here is a typical format of the only information provided in 2025 meeting minutes:
- “Management Report: Financials and delinquent report reviewed. All collections up to date in collection procedures.” That’s it, identical wording in all minutes, nothing more.
- “Work Orders Completed Since Last Meeting.” Work orders listed.
- “Reviewed Homeowner Correspondence” That’s it, identical wording in all minutes.
- “Discussed New and Pending Business” That’s it, identical wording in all minutes.
- “Resales: None since last meeting” This is identical in all minutes, but totally inaccurate as four units sold and closed thus far this year.
